Efficiency and Transparency in Asset Management at Ivens Group

Ivens Group, a prominent player in the construction and industrial sector with expertise and focus on industrial storage tanks, also manages an extensive inventory of work equipment, machinery and lifting equipment to carry out this activity.

For Walter Wilmsen, Maintenance, Facility and Warehouse Manager at Ivens Group, accurately tracking inspections, maintenance and master data is a crucial daily task.

To professionalise data capture and speed up the inspection process, the organisation switched to the Digi-Tags asset safety management solution.

From manual data to digital overview

Before implementing Digi-Tags, Ivens Group was looking for a way to link their own existing QR codes to an inspection data platform that was accessible to every user. The focus was on:

  • Reducing margins of error during inspections.
  • Creating a clear dashboard for monitoring maintenance.
  • Faster access to documentation on site (construction site).

The solution: Digi-Tags

Digi-Tags was chosen because of its user-friendliness and flexibility to integrate existing business processes.

Digi-Tags is a clear, easy-to-use platform that, using our own QR codes, is accessible to every user,’ says Walter Wilmsen.

The Implementation Process

The implementation went smoothly thanks to the fact that the existing QR codes from Ivens Group could be retained. ‘Tuning’ the non-legal fields and hierarchy of our IVENS database with Vinçotte's database was a joint challenge," elaborates Walter. “During the first three periodic inspection rounds, the database was fine-tuned to lay a solid foundation for the future. What was striking was the minimal learning curve for employees in the field. They were able to start working with the system almost immediately and without extensive training."

Results and Benefits

  • Speed: Faster completion of periodic inspections and immediate registration of repairs.
  • Data management: Easy custom export of data to Office packages for in-depth analysis.
  • Accessibility: Statuses and documents can be accessed directly on site via QR scan.
  • Cost savings: Smaller margins of error and more efficient administration lead to immediate savings.

Operational optimisation

Today, Digi-Tags is used intensively on a daily basis by the maintenance team to record comments and handle repairs. ‘Looking up statuses and other information is much easier and faster,’ says Walter, ‘and the dashboard makes centralising data clearer and easier to edit for maintenance follow-up.’ This has already significantly reduced the administrative burden of material tracking.

Vision for the future

Ivens Group continues to innovate with the tool. The next step is to set up specific site locations as “groups” within the platform. This will make it even easier for users on site to get a specific overview of the assets present and their inspection status.

The safety culture at Ivens Group was already deeply rooted thanks to internal initiatives around ownership. Digi-Tags now also provides the technical structure to support this culture with consistent data and direct transparency.
